This Privacy Policy explains how Moninsight ("we" or "us") collects, uses, discloses, and protects your information when you use our AI-powered accounting platform (the "Service"). By using Moninsight, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our practices, please do not use the Service.
Our Privacy Promise
We uphold the following principles to protect your privacy:
- Security First: We protect your financial and personal data with industry-standard security measures and encryption.
- Data Minimization: We only collect information that is necessary to provide and enhance our AI-powered accounting services, and nothing more.
- Transparency with Integrations: When we integrate with third parties (like Plaid for banking data or Column Tax for tax filing), we only share the data required for those services and we make sure you know what's being shared.
- User Control: You have control over your data. You can access, download, or request deletion of your personal information, and you can disconnect integrated accounts at any time.
- No Sale of Personal Data: We do not sell your personal information to third parties, and we never will. Your data is used solely to serve you and improve our Service.
1. Information We Collect
We collect several types of information from and about users of the Service, including both information you provide to us directly and data we collect automatically through your use of Moninsight.
1.1 Personal Identification Information
When you sign up for Moninsight or communicate with us, you may provide personal details such as:
- Contact Information: Your name, email address, phone number, and mailing address. We require an email to create an account and may use it to send you Service updates or verify your identity.
- Account Credentials: A password or authentication method for your Moninsight account. (Note: Moninsight does not collect the login credentials for your external financial accounts — those are handled by Plaid, see Section 3.1.)
- Profile and Business Information: If applicable, information about your business or sole proprietorship, such as your business name, industry, or Employer Identification Number (EIN) (especially if you use the tax features).
- Tax Identification: If you use our tax planning or filing services, we may collect personal identifiers needed for tax forms, such as your Social Security Number (SSN) or EIN, and details like your filing status and dependents. This information is used only for preparing and filing taxes on your behalf and is handled with the highest sensitivity.
1.2 Financial Information (Accounting Data)
To provide AI-powered bookkeeping and financial insights, Moninsight collects financial data that you link or input:
- Linked Account Data: If you choose to connect bank accounts, credit cards, or other financial accounts, we will retrieve financial information from those accounts through our data integration partner, Plaid. This can include your account names and types, account balances, transaction history, transaction descriptions, dates and amounts, and related metadata. We may also collect information on account balances and income/expense patterns to generate reports and insights.
- Manual Financial Inputs: Any financial data you manually input into the Service, such as budgets, income or expense entries, invoice details, or notes about transactions.
- Receipts and Documents: If you use our receipt scanning feature, we collect the images or files you upload and the data extracted from them (e.g., merchant, date, amount, categories). The original image may also be stored so you can reference it.
- Financial Goals/Preferences: Optionally, you might provide information like savings goals, budget targets, or estimated quarterly tax withholding preferences to better tailor the insights you receive.
- Invoicing Data: If you use Moninsight's invoicing features, we collect client names, addresses, email addresses, line item details, amounts, and payment status to generate and track invoices and quotes on your behalf.
Note: Moninsight does not collect credit score data or investment portfolio holdings, as our platform does not include credit monitoring or investment tracking features.
1.3 Tax-Related Information
For users who engage with Moninsight's tax planning and preparation features, we collect additional data needed for tax calculations and insights:
- Income Details: Information about your income sources (e.g., self-employment earnings, interest, or dividend income) that you either input or that is derived from your linked accounts' transaction data.
- Expense and Deduction Details: We track business-related expenses and possible deductions (for example, home office expenses, mileage, travel, or equipment purchases) based on your categorized transactions or information you provide. The deduction optimizer and year-end planning tools use this data to surface savings opportunities.
- Tax Profile Information: Basic tax context you provide to improve the accuracy of estimates, such as your filing status or approximate tax bracket. Moninsight does not collect your Social Security Number (SSN) or process actual tax return submissions — we provide planning insights only, and any actual filing is your responsibility or that of a licensed tax professional.
- Quarterly Payment Tracking: Data you input about estimated quarterly tax payments, including amounts paid and due dates, to help you track your obligations throughout the year.
1.4 Usage Data and Device Information
Like many online services, we automatically collect certain data about how you access and use Moninsight. This includes:
- Technical Information: Your IP address, browser type, operating system, device type (e.g., mobile or desktop), device identifiers, and the version of our app or website you are using.
- Usage Information: We log usage data such as the pages or screens you view, the features you use, what links you click, and the time and duration of your activities.
- Cookies and Browser Storage: We use cookies and similar technologies (including localStorage and sessionStorage where appropriate) to remember your preferences and analyze site/app traffic. You can control cookies through your browser settings (see our Cookie Policy for more detail).
- Analytics Data: We use third-party analytics services (such as Google Analytics) that employ cookies and scripts to collect aggregated information about user interactions. This data helps us improve the user experience and troubleshoot issues.
- AI Assistant Interactions: If you interact with Moninsight's AI assistant or chat feature, the content of your messages and the AI's responses may be logged. These conversation logs help us provide you with context and improve our AI models. Conversation data may be analyzed in aggregate to improve accuracy, but we do not use it to identify you personally outside of providing the Service.
1.5 Sensitive Personal Data
Some of the data we collect can be sensitive — for example, financial account details, income, SSN, and tax information. We only collect such data when necessary to provide the Service you've chosen to use. We apply extra care in handling this sensitive data (encryption, access controls — see Security in Section 4). We do not use sensitive personal data for purposes other than providing you the Service, improving it, and as otherwise described in this Policy.
2. How We Use Your Information
Moninsight uses the collected information for various purposes aligned with offering and improving our AI accounting platform:
- Providing and Improving the Service: We use your personal and financial information to deliver the core functionality of Moninsight — processing your transactions, auto-categorizing expenses, generating P&L statements, balance sheets, and cash flow reports, calculating tax estimates, tracking quarterly payments, and powering the deduction optimizer and year-end planning tools. We also use collected information to maintain and improve the Service's performance.
- Invoicing and Billing Workflows: If you use Moninsight's invoicing features, we use your business and client information to generate invoices, track payment status, and send automated reminders. Invoice data is associated with your account and retained as part of your financial records.
- AI-Driven Insights: Your data (transactions, budgets, etc.) feeds into our AI models to give you personalized insights, such as monthly expense analysis, deduction opportunities, or tax liability forecasts. When training or fine-tuning our algorithms, we typically use anonymized or aggregated data; personal identifiers are removed so that training does not expose your identity.
- To Communicate with You: We use your contact information to send important service-related communications — account and security notifications, alerts you configure, weekly review reminders, and customer support responses. If you opt in, we may also send informational or promotional emails about new features. You can opt out of marketing emails at any time.
- Tax Planning Assistance: We use your financial data to generate tax estimates, track deductions, and produce year-end planning insights. This data stays within Moninsight and is not transmitted to any external tax filing service.
- Analytics and Product Research: We use aggregated usage data to understand and improve user experience. These analyses are done in aggregate and do not focus on individual user behavior except as needed to assist that user.
- Compliance and Protection: We may process your information to comply with legal obligations, respond to lawful requests by government authorities, enforce our Terms of Service, and detect or prevent fraud, security incidents, and other harmful or illegal activities.
We will not use your personal information for purposes other than those described above without asking for your consent, unless otherwise required or permitted by law.
3. How We Share and Disclose Information
Moninsight understands that your personal and financial information is sensitive. We share your data only in the ways and with the parties described in this Privacy Policy, and we do not sell your personal information to third parties.
3.1 Service Providers (Subprocessors)
We employ trusted third-party companies and individuals to help us support and provide our Service ("service providers"). These providers perform tasks on our behalf and under our instructions, and they include:
- Plaid (Financial Data Aggregation): When you link a financial account, Plaid will access and transmit your financial data to us securely. We do not see or store your bank credentials — Plaid handles that and gives us read access to your transactions and balances. Plaid's information handling is governed by Plaid's own privacy policy and terms, which we encourage you to review.
- Google (Gmail & Drive Integrations): If you connect your Google account, Moninsight accesses Gmail to detect receipts and financial documents, and Google Drive to retrieve or store relevant files, solely to provide the features you've enabled. Access is granted through Google's OAuth flow and governed by Google's privacy policy. We access only the scopes necessary for the features you activate.
- Cloud Hosting and Data Storage: Moninsight uses reputable cloud infrastructure providers (e.g., Amazon Web Services or similar) to host our application and databases. These providers store data in secure data centers and are not permitted to access your information except as needed to maintain the service.
- Analytics and Monitoring Tools: We utilize third-party analytics services (such as Google Analytics) and error tracking services (such as Sentry). These services may receive limited personal data (e.g., a user identifier, device info, and usage events). The data shared is mainly technical or aggregated, used to improve the Service's performance and reliability.
- Communication and Support Tools: We may use third-party platforms for sending emails (e.g., SendGrid or similar) or for customer support (e.g., a helpdesk or chat widget). These tools have access to your contact info and any messages necessary to carry out their function.
All our service providers are vetted for strong security and privacy practices. We have agreements in place that limit how they can use your information. They are not allowed to use your data for their own purposes and must only process it for reasons related to the services they perform for us.
3.2 Business Partners and Integrations
In addition to core service providers, Moninsight may share information with certain business partners in the context of features you choose to use:
- Financial Institutions and Payment Processors: If Moninsight facilitates any payments, we will share necessary information with payment processors or banks to complete the transaction. We do not store full credit card numbers or bank account numbers used for payments; that information is handled by compliant payment gateways.
- Accounting or Financial Software Integrations: If you choose to export or sync your data with other software, we will share data only as needed to fulfill your request and will ask for your authorization before any such transfer.
- Advisors or Consultants: With your consent, we might share information with a professional you engage through Moninsight. Such professionals would be under contract to maintain confidentiality.
Moninsight does not currently share your personal information with any third-party advertisers or social media platforms. We do not partake in selling data to data brokers.
3.3 Legal Compliance and Protection
We may disclose your information when we believe in good faith that such disclosure is necessary to:
- Comply with the law or legal process: If we receive a subpoena, court order, or other legally binding request, we may be required to disclose certain data. We will only do so after evaluating the request and only provide the minimum information necessary.
- Enforce our rights: We may share information if needed to enforce our Terms of Service, collect owed fees, or investigate and protect against fraudulent or illegal activities on our platform.
- Protect users and others: If we believe that someone's actions on Moninsight violate the law or put others' safety or property at risk, we may share information with appropriate authorities.
3.4 Corporate Transactions
If Moninsight is involved in a business transaction such as a merger, acquisition, reorganization, or sale of assets, your information may be disclosed to the parties involved in negotiating or completing that transaction (e.g., to auditors or potential investors) under confidentiality agreements. We will notify you (for example, via email or a notice on our website) of any such change in ownership or transfer of your personal information.
3.5 Aggregated or De-Identified Data
We may share data that has been aggregated or de-identified with third parties for industry analysis, research, or service improvement. In these cases, no personal or identifiable information is disclosed — the data cannot be traced back to any individual user.

We take the security of your data extremely seriously. Moninsight implements a variety of technical, administrative, and physical safeguards to protect your personal and financial information from unauthorized access or disclosure. Our security measures include:
- Encryption: All data transmission between your device and Moninsight is encrypted using HTTPS/TLS protocols. Sensitive data (such as account credentials, personal identifiers, and financial details) are additionally encrypted at rest in our databases.
- Access Controls: We limit access to personal data strictly to authorized personnel. We employ measures like two-factor authentication (2FA), role-based access controls, and thorough logging of access to sensitive data. Our staff and contractors are bound by confidentiality obligations.
- Network and Application Security: Our servers are protected by firewalls and network monitoring. We regularly update our software and infrastructure to address security vulnerabilities and conduct periodic security audits and penetration testing. The Moninsight application also has built-in security features (for example, automatic logout after periods of inactivity, and alerts for new device logins).
- Data Backups: We perform regular backups of key data to prevent loss in case of hardware failure or other issues. Backup data is encrypted and stored securely.
- Third-Party Security: Where we use third-party service providers, we choose reputable firms with high security standards and ensure via contracts that they also implement appropriate security measures.
- Monitoring and Incident Response: We continuously monitor our systems for potential security breaches or anomalies. We have an incident response plan in place so that if a security incident is detected, we can immediately act to mitigate it, investigate the scope, and notify affected parties.
Despite all these precautions, no method of transmission over the internet or method of electronic storage is 100% secure. We cannot guarantee absolute security. In the unlikely event of a data breach that affects your personal information, we will notify you and the appropriate authorities as required by law.
5. Cookies and Tracking Technologies
Moninsight uses cookies and similar technologies to improve user experience and gather data about usage of our Service. For full details on how we use cookies, your choices, and how to manage them, please refer to our Cookie Policy.
In summary, we use:
- Essential cookies — required for the Service to function (e.g., keeping you logged in).
- Analytics and performance cookies — to understand how users interact with the Service (e.g., Google Analytics).
- Security cookies — to help detect malicious activity or prevent cross-site request forgery.
We do not use advertising cookies or sell data to ad networks.
6. Data Retention
We retain your personal and financial information only for as long as is reasonably necessary to fulfill the purposes for which it was collected, or for as long as we have another lawful basis to do so. In practice:
- Active Account: We will retain your information for as long as needed to provide you the Service.
- Plan Cancellation and Account Closure: If you cancel your subscription, your access continues until the end of your billing period (Starter at $25/mo, Essential at $39/mo, or Growth at $69/mo — or the equivalent annual rate). If you then delete your account or submit a verified deletion request, we aim to delete or anonymize personal data within 30 days, barring the exceptions below.
- Legal and Operational Retention: We may retain certain information after account deletion for legitimate business interests or legal obligations (e.g., records required under tax or financial regulations, or information needed for resolving disputes). We limit access to the retained data and keep it only for the period required.
- Backup and Archival: It may take up to 90 days for certain data to be fully purged from our backup and disaster recovery systems after deletion in our primary systems. During that period, your data would not be active in our Service.
- Anonymized Data: We may retain data that has been de-identified or aggregated such that it can no longer be linked to you. This data is not considered personal information and may be kept indefinitely.
When we have no ongoing legitimate need or legal requirement to keep your personal information, we will securely dispose of it.
7. Your Rights and Choices
Depending on your jurisdiction and applicable data protection laws, you may have certain rights regarding the personal information we hold about you:
- Access Your Information: You have the right to request a copy of the personal data Moninsight holds about you. Most of this information is readily available to you in the app, but you can also contact us for a comprehensive export.
- Correct Your Information: If any personal information we have is incorrect or outdated, you can update it in your account settings or ask us to correct it.
- Delete Your Information: You may request deletion of your personal information. If you delete your account or specifically request data deletion, we will erase your personal data from our active databases, except for data we are required or permitted to keep by law. We will respond to deletion requests generally within 30 days.
- Data Portability: In certain jurisdictions, you have the right to obtain your information in a structured, machine-readable format. We already allow CSV export of financial data within the app. For other data, contact us and we will provide it if required and feasible.
- Withdraw Consent: Where we rely on your consent to process data, you have the right to withdraw that consent at any time. Withdrawal of consent will not affect the lawfulness of processing based on consent before its withdrawal.
- Opt-out of Marketing: If we send marketing or promotional communications, you can opt out at any time by clicking the "unsubscribe" link in emails or changing your notification settings.
- California Privacy Rights (CCPA): Moninsight does not sell personal data as defined by the CCPA. California residents can contact us to exercise their access or deletion rights. We will not discriminate against you for exercising any privacy rights.
- GDPR Rights (EU/EEA users): EU/EEA users have the rights enumerated above and additionally the right to object to or restrict certain processing. EU users also have the right to lodge a complaint with a Data Protection Authority if they believe we are not complying with GDPR requirements. Our lawful bases for processing are typically: performance of a contract, legitimate interests (security, improving the service), and legal obligations.
To exercise any of your rights, please contact us (Section 11) with your request. For security, we may need to verify your identity before fulfilling the request. We will respond within any timeframe required by law.
8. International Users
Moninsight is based in the United States, and our Service is currently intended for users in the U.S. (particularly given our integration with U.S. banks and tax systems). If you choose to use Moninsight from outside the United States, be aware that your information will be transferred to, stored in, and processed in the U.S. (or other locations where our service providers operate). U.S. data protection and privacy laws may not be as protective as those in your home country. However, we take steps to ensure that your privacy is protected as outlined in this Policy, wherever your data is processed.
If you are located in a region with data transfer regulations (such as the European Union), we will rely on approved legal mechanisms to transfer data (such as Standard Contractual Clauses) and will ensure that your data receives adequate protection in the U.S.
9. Children's Privacy
Moninsight's Service is not intended for individuals under the age of 18, and we do not knowingly collect personal information from anyone under 18 years old. Our platform is designed for adult use, given it involves financial accounts, taxes, and other adult responsibilities.
In compliance with the U.S. Children's Online Privacy Protection Act (COPPA), we do not knowingly solicit or receive information from children under 13. If we learn that we have inadvertently collected personal data from a child under 13, we will promptly delete that information.
If you are a parent or guardian and discover that your child under 18 has created an account or provided personal data to Moninsight without your consent, please contact us immediately. We will take steps to delete the child's information and close their account.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time as our services and legal requirements evolve. If we make material changes to how we handle your personal information, we will notify you by means of a prominent notice on our website or within the app, and/or by sending an email to the address associated with your account. We will also update the "Last Updated" date at the top of this Policy.
If you continue to use Moninsight after the updated Policy is in effect, it means you accept the revised terms. If you do not agree with the changes, you should discontinue use of the Service and may delete your account.
